When our global client commissioned us to manage its presence at the American Society of Clinical Oncology in Chicago, we orchestrated a highly successful international congress attendance as well as multiple standalone events and meetings.
Our global client commissioned us to manage the logistics for its presence at ASCO, the American Society of Clinical Oncology, in Chicago. What began as a project for the global division of a leading pharmaceutical company evolved into a programme for 24 clients across the international organisation.
We liaised closely with our client to centralise the logistical management of the company’s franchise stakeholders worldwide, and their external customers. This multifaceted programme demanded strong project management skills as the list of requirements expanded in the run-up to the event itself.
As well as managing the invitations, travel and accommodation requirements for international customers, we worked with stakeholders across the organisation (and time zones) to book and manage standalone events, investigator meetings, advisory boards, association forums and meet-the-expert sessions.
A combination of our local knowledge and contacts in Chicago, and our considerable experience of managing international congresses, enabled our onsite team to hit the ground running and liaise seamlessly with other project partners.
We orchestrated a total of 34 healthcare provider meetings, some with over 100 attendees. The project was a huge success for our client and the franchise stakeholders alike, as well as delegates. We achieved substantial cost savings for the client as well as consistency by centralising booking and co-ordination through our online system and process.
